Purpose:
We are seeking a full time, highly organized and proactive Office Administrator to join our team. The Office Administrator will manage daily office operations, provide administrative support, and foster effective communication within the team. This position supports office management, administrative tasks, communication, client relations, and much more, contributing to the success of our team and the business.

Accountabilities:The Office Administrator’s accountabilities include, but are not limited to:
- Responsible for overseeing daily office operations, including an organized and efficient work environment.
- Manage office equipment and facilities, scheduling meetings, and providing administrative support to staff.
- Handle internal and external communication, client relations, and event coordination.
- Manage calendars, schedules, and administrative tasks.
- Serve as the main point of contact for communication and client inquiries.
- Maintain organized filing systems and ensure compliance with document management policies.
- Coordinate office events, meetings, and team-building activities.
- Oversee office supply inventory and manage ordering processes.
- Assist the marketing team with administrative tasks and track marketing efforts.
- Provide proactive support to senior management and take on special projects.
- Other duties as assigned.
Knowledge and Technical Competencies:
- Proficiency in Microsoft Office Suite.
- Experience with office management systems (e.g. CRM systems, project management tools).

Purpose:
Under the direction of the Tax Manager, the Accounting Technician will play a crucial role at The Retiring Farmer by ensuring accurate financial record-keeping and compliance while supporting our mission to help farm families achieve their financial and retirement goals. The Accounting Technician will be detail-oriented and proactive, assisting with various public accounting tasks, including bookkeeping, personal tax returns, and other related duties.
Accountabilities:The Accounting Technician’s accountabilities include, but are not limited to:
- Assisting with the tax onboarding process for new clients, which involves assistance with client CRA access, organizing internal files, utilizing the Karbon Software program, and completing additional tasks assigned by the Tax Manager.
- Preparing income tax returns for personal clients.
- Preparing and submitting CRA reviews received by clients.
- Preparing government remittance filings such as T4, T5, CDA elections and GST returns.
- Managing and organizing client files, ensuring confidentiality and security of sensitive financial information.
- Performing bookkeeping functions for clients, including posting journal entries and updating client bookkeeping files.
- Providing tax planning intended to reduce the overall incidence of income tax to corporations and individual managers/shareholders.
- Collaborating with partners and/or senior accountants to meet client filing deadlines.
- Developing and maintaining client relationships.
- Requesting necessary supporting documentation from clients for engagements and responding to client questions.
- Tracking filing timelines for client files to ensure accurate and timely completion of returns and schedules.
- Staying up to date with changes in accounting regulations and tax laws, particularly related to the agricultural sector.
- Assisting the Tax Manager in advising clients and providing insights on their operational health.
- Researching and applying the Income Tax Act to prepare compliance tax returns and more complex re-organization transactions.
- Performing other duties as assigned, including aiding the wealth management financial planning department.
- Completing internal bookkeeping duties such as invoicing, AR/AP payments, completing reconciliations, posting journal entries, preparing quarter-end and year-end financial statements, supporting year-end tax return preparation, processing employee expenses and processing semi-monthly payroll.
Qualifications:
- Diploma or degree in Accounting, Finance, or a related field.
- Experience in a similar role, preferably within an agricultural context.
- Excellent attention to detail and strong organizational skills.
- Effective communication and interpersonal skills, with the ability to work collaboratively with clients and team members.
- A proactive approach to problem-solving and process improvement.
- Ability to manage multiple priorities and meet deadlines.
- A valid Social Insurance Number and legally entitled to work in Canada under relevant provincial or territorial legislation and regulations.
Knowledge:
- Strong knowledge of accounting principles, practices, and taxation laws.
- Knowledge of government-sponsored farm programs and the preparation of related applications, including the ability to complete accrual to cash conversions and crop/livestock analytics.
Technical Competencies:
- Proficiency in accounting software (e.g., ) and Microsoft Office Suite.
- Experience with Karbon (not a requirement).
